Who we are
GBOS (Global Business OS) provides a business operating system that is currently available as a controlled pilot to selected organisations. This Privacy Policy explains how we handle personal data collected through this website and the pilot programme, and describes your rights in relation to that data.
What information we collect
We collect the following categories of personal data:
- Pilot application details — the name, company, work email, telephone number, sector, country, organisation size, current systems and the operational context you choose to share when you apply for early access.
- Contact and correspondence — information you provide when you email us or communicate with our team.
- Technical and usage data — limited information such as your approximate region, browser type and pages viewed, collected through privacy-respecting analytics to help us improve the site.
We do not intentionally collect special category data through this website. Please do not include sensitive personal information in free-text fields.
How we use your information
We use personal data only for clearly defined purposes:
- to assess, respond to and manage your pilot application;
- to arrange demonstrations and communicate with you about the pilot programme;
- to operate, secure and improve this website; and
- to comply with our legal and regulatory obligations.
We do not sell your personal data, and we do not use pilot application details for unrelated marketing without a separate, clear opt-in.
Legal bases for processing
Where the UK GDPR and EU GDPR apply, we rely on the following legal bases: your consent (which you may withdraw at any time), our legitimate interests in assessing suitable pilot participants and improving our service, taking steps at your request prior to entering into an agreement, and compliance with legal obligations.
How long we keep it
We retain pilot application data for as long as necessary to evaluate and administer the pilot programme, and for a reasonable period afterwards to maintain records of who we have engaged with. When data is no longer needed, we delete it or anonymise it. You can ask us to delete your application data sooner (see “Your rights” below).
Sharing and processors
We share personal data only with trusted service providers who help us operate the pilot, such as our cloud hosting and database infrastructure and our analytics provider. These providers act as our processors under contract and may process data outside your country. Where data is transferred internationally, we rely on appropriate safeguards such as standard contractual clauses.
How we protect your data
Personal data is stored in a governed database with access controls, encryption in transit, and per-organisation data isolation. Access is limited to team members who need it to run the pilot programme. No online service can be guaranteed to be completely secure, but we take reasonable and proportionate measures to protect your information.
Your rights
Depending on where you live, you may have the right to access, correct, delete or restrict our use of your personal data, to object to processing, to data portability, and to withdraw consent. To exercise any of these rights, contact us at hello@gbos.co.uk. You also have the right to complain to your local data protection authority (in the UK, the Information Commissioner’s Office).
